Focus on Variation:
Develop Operational Definitions

Reduction of variation can begin with a common understanding of concepts commonly used in the transaction of business. The meaning of a concept is ultimately found in how that concept is applied. Simple concepts such as on-time, clean, noisy, secure, etc., need operational definitions in order to reduce variation in communications and measurement. An operational definition will have usually have two parts: 1) a measurement procedure, and 2) criteria for judgment.




Examples of Tests of this Change

An improvement that clinic teams can make to maximize their capacity and facilitate maximum patient flow is to standardize the exam rooms (with supplies and equipment). An operational definition of having a standard room setup would include agreement on (1) when the rooms would be checked each day, e.g., the beginning or end of the day, and (2) what supplies and equipment should be available in each room.
