Organization of Health Care:
Make Sure Senior Leaders and Clinical Leaders Visibly Support and Promote the Effort to Improve HIV/AIDS Disease Care by Removing Barriers and Providing Necessary Resources
  1. Have the senior/clinical leader visit the clinical team and attend team meetings.
  2. Have the senior leader speak about the improvement effort in all-staff meetings.
  3. Have the senior leader participate in writing the aims and goals of the HIV/AIDS disease initiative and provide guidance for the clinical team.
  4. Have the senior leader help identify the most enthusiastic and respected clinician to be on the improvement team and test changes in his/her practice.
  5. Have the senior leader give monthly updates to the community.
  6. Present local morbidity/mortality (M/M) HIV/AIDS data to the Board of Directors to make a compelling case for the need to change current practice.
  7. Share results and community activity with the Board of Directors quarterly.
  8. Use positive public relations opportunities to build support.
  9. Ask a physician champion to share tested tools and interventions at provider meetings to engage providers’ interest and involvement.
  10. Have team members present progress reports at staff meetings. Give the senior leader regular reports and feedback to foster interest.
  11. Ensure that the senior leader allocates resources for:
    • Computer hardware and software
    • Establishing and maintaining technical support
    • Personnel to support and maintain the registry
  12. Ensure that the senior leader allocates time for:
    • Staff to conduct meetings and tasks related to improvement
    • Staff to promote and coordinate improvement strategies
    • Increased training and cross-training
  13. Have the senior leader provide incentives for staff and patients.

Tips
  • Invite the senior leader to talk with other senior leaders.
  • If the senior leader can’t attend a team meeting, he or she should call the team after the meeting to ask, "What do I need to do?"
  • Give the senior leader concrete tasks, such as visiting the practice site and the team, or addressing a public group.
  • Have senior leaders talk with spread teams when they are visiting.
  • Show the senior leader how the Model for Improvement can be used across the system.
  • Help the senior leader recognize how "good" this makes him/her and the center look in the eyes of the staff and the community (really good Public Relations).
  • Ask for Board of Directors’ support early and often.
  • Provide feedback to the Board about the positive results of their support.
  • Take advantage of Board members’ personal experience.
  • Spread the word through radio spots, newspaper articles, and community health fairs.
  • Involve the senior leader in marketing the HIV/AIDS effort.
  • Ask senior leader/medical director to formally introduce the team to promote the effort, and urge other staff to help when asked.
  • As tools are tested and proven, share them with other interested providers to "try."
  • Discuss data that is available from the registry and uses for this data.
  • Provide a copy of the registry flow sheet for review.
  • At every provider meeting, share something positive, such as a patient case study or tool.
  • Involve providers by asking for their input and ideas.
  • Provide patient comments as appropriate.
  • Be enthusiastic so that others will want to participate.
  • Involve staff by asking for their input and ideas.
  • Remember to include non-financial incentives for staff, such as recognition and status.
  • Provide healthy foods and beverages at group visits.
  • Provide donated phone cards to increase communication of homeless patients and others.
